Multi-factor login everywhere
Email, the client portal, remote access and the tax software itself — the single control the Safeguards Rule, insurers and the IRS all look for first.
Between January and April a CPA office cannot lose an hour. We build the network, the backups and the security controls that keep tax software, client portals and e-filing running, and we give you the written evidence behind the information security plan every preparer is now required to have.
On site in Frisco, Plano, McKinney, Allen, Prosper, Little Elm, The Colony, Carrollton, Richardson and Dallas · remote support across Texas
| FTC Safeguards Rule | Tax preparers are 'financial institutions' under the rule: a written information security plan, a designated person in charge, multi-factor login, encryption of client data, access controls, monitoring and an incident plan. We implement and document the technical half. |
|---|---|
| IRS Publication 4557 and the WISP | The IRS expects every PTIN holder to have a Written Information Security Plan and publishes a template (Publication 5708). We fill in the technical sections from what we actually installed, so the plan describes reality. |
| Client expectations | Business clients increasingly ask how their statements and tax documents are stored and shared. A proper portal, MFA and encrypted backups are the answers that end the conversation. |

SmartVault, ShareFile, Canopy or your tax suite's own portal set up with the right folder structure and permissions, so documents never travel by email attachment.
Local and cloud backups of the tax software data, QuickBooks files and email, with a restore tested and documented before 1 January.
Staff, guests, printers and scanners on their own networks; scanners configured to drop into the right folders securely.
Secure access for preparers who work from home or a second office, switched on in January and off in May.
No upgrades from mid-January to mid-April. Everything else is planned for May to November.
We set the network up to each vendor’s published requirements and we talk to their support in their language, so you are never the go-between.
Every industry page above is built from the same six services — quoted after a free site visit, installed after hours, documented so you are never stuck with one vendor.
A Frisco CPA firm lost e-filing sessions most busy afternoons on a consumer router and a Wi-Fi-only office. Over two November weekends we cabled every desk, installed a business firewall with MFA on remote access, moved the Drake server onto a backed-up, segmented network and filled in the technical sections of the firm's WISP.

We provide the technical sections and the evidence; the plan itself is signed by your designated security person. Most firms start from the IRS template and we fill in what is installed.
No. Many firms keep Drake or Lacerte on a local server for speed. We make that server backed up, patched and only reachable through MFA.
Tell us about the office — how many people, what is slow or broken, what you are planning. A senior engineer who has set up accounting and cpa firms before calls the same business day to set a time.
